Timeline Auto-Population with DocGPT

Overview

Use DocGPT to automatically extract key dates from your purchase agreements and create your transaction timeline with minimal effort. This feature saves you valuable time by eliminating manual data entry and helps ensure no important dates are missed.

Folio will alert you when we detect a new purchase agreement in your inbox. You'll get a notification with the option to automatically update your timeline with the latest information.

This AI-powered feature works in both the Chrome extension and Folio web app. Access is subject to a monthly quota. Free users can try it once to see the magic happen before upgrading.

Getting started in the web app

  1. Navigate to your Smart Folder

  2. Go to the timeline view

  3. Click the AI icon located next to the "+ ADD" button

    1. If this is your first time using AI features, you'll need to provide consent

  4. Select the latest purchase agreement from the document list and click "Select Purchase Agreement"

  5. Wait while DocGPT analyzes your document (this may take a few minutes)

  6. When complete, click the "View dates" button

You can continue working on other tasks while DocGPT processes your document. The notification banner will appear when the analysis is complete.

Reviewing and confirming timeline dates

When DocGPT completes its analysis, you'll see a date selection interface where you can:

  • Review each extracted date before adding it to your timeline

    • When reviewing dates, you may see dates that are currently in your timeline. DocGPT will automatically compare your existing timeline events with the document and pre-select any newer dates found in the document. You can easily switch between options to keep the dates you prefer.

  • Hover over the AI icon next to any date to see how DocGPT identified that date

  • Edit dates that need adjustment by clicking the edit icon

  • Remove dates that aren't relevant by clicking the red "remove" mark

  • Click "Update timeline" when ready to add the dates to your timeline

    • Important: This action cannot be undone

Before clicking "Update timeline," we strongly recommend reviewing all the extracted information carefully. While DocGPT is designed to be accurate, AI technology can occasionally misinterpret complex legal language or unusual formatting.

What happens next

After confirming your selection:

  1. Your timeline is immediately updated with the new dates

  2. Additional transaction information is added to the Notes tab (Available to users with the Chrome extension)

  3. You can view your complete timeline with the newly added events, including a reference to where and when the information was sourced

    1. Please note: this information is only visible to you as the timeline owner

Viewing notes in the Chrome extension

You can use the auto-population feature both in our web app and Chrome extension. For extension users, simply navigate to your transaction's timeline view and look for the same AI icon next to the "+Add" button. The process works identically in both interfaces, giving you the flexibility to use whichever platform best fits your workflow.

The detailed notes extracted from your documents can only be viewed through the Chrome extension by opening your Gmail and navigating to the transaction's Smart Folder > Notes tab.

Troubleshooting

If you encounter issues with the auto-population feature:

  • Ensure your document is clearly scanned and all text is legible

  • Check that you've provided AI consent

  • Verify that:

    • your Pro subscription is active

    • your free trial hasn’t expired

    • you haven't used up your allowance for the month

  • Make sure your PDF is a standard purchase agreement format

  • Please use one of the following file formats: pdf, docx, doc, xls, xlsx, ppt, pptx, jpg, or png. Make sure your file size is no larger than 25MB.

For documents with unusual formatting or non-standard clauses, DocGPT may not identify all dates. You can always add these events manually using the "+Add" button.
