Transaction anniversary reminders

Overview

Transaction anniversary reminders help you keep in touch with clients after closing. Add one-off or repeating reminders, get email alerts, and see a “Client Check-In” marker on the timeline. Calendar events include the address, client details, and a link back to the Smart Folder.

  • Stay top-of-mind for referrals and repeat business with timely follow-ups.

  • Set once at closing or via templates and let reminders run automatically.

  • See reminders directly on the timeline and in your calendar, plus receive email alerts.

Common use cases

  • The 3-week check-in

    • Drop your clients a quick note asking how the move's going. Maybe they need a contractor recommendation? This is just a one-time thing, not recurring.

  • Annual home anniversaries

    • Every year on their closing date, reach out to say congrats on another year in the home. Perfect time to ask for referrals too. This one repeats automatically each year.

  • Your own follow-up schedule

    • Want to check in at 6 months? Or maybe 90 days? Just add whatever timing works for you.

  • Getting your whole team on the same page

    • Add these anniversary reminders to your Timeline Templates. This way, every new timeline automatically includes your standard follow-up plan. No one forgets, and everyone stays consistent.

Getting started with anniversary reminders

Add reminders from the Gmail inbox (Chrome extension)

  1. Open a Smart Folder.

  2. Click Add anniversary reminder on the closing banner (visible only if no reminders exist yet)

  3. In the pop-up window, you can:

    • Set a 3-week reminder (does not repeat)

    • Set a 1-year anniversary reminder (repeats annually on closing date)

    • Click Add custom reminder and set your own timing.

  4. Under each selected reminder, you can choose the notification timing. The default is the same day at 9:00 AM.

  5. When you’re all set, click Next. You’ll see a confirmation window.

  6. What happens next is that Folio will:

    • Create Google and Outlook Calendar events based on the selected dates with the address, client info, and a link to the Smart Folder.

    • Add a special timeline event.

    • Schedule your email reminder based on your alert choice (on the day / 1 day before / 1 week before).

Pro tip: Use both preset reminders (3-week + 1-year) to cover immediate move-in support and long-term loyalty.

Add reminders from a timeline (web app, extension, or timeline page)

  1. On any timeline, click + Add and in the window, set the “Type” field to “Anniversary reminder”.

  2. The timeline event editor will update and display the reminder options. Choose the timing, notification schedule, and visibility. If you make the reminder visible to timeline editors, timeline editors will also receive an email notification, and an event will be created on their calendar.

  3. When you’re all set, click Save.

The reminder is added to the timeline and your calendar/email alerts are scheduled.

Who can see and receive anniversary reminders

Anniversary reminder visibility depends on who creates them and the settings chosen:

  • Timeline owners can set reminders to "Only me" or "Me and people with editing permissions"

  • Timeline editors can only create reminders visible to all editors (themselves and the timeline owner)

  • Email notifications and calendar events are sent to all users included in the reminder's visibility setting

Note: Reminders are never visible to clients or users with view-only access.

Add reminders to timeline templates

Want your whole team to follow the same client check-in schedule? Add anniversary reminders to your timeline templates so every new timeline automatically includes your standard follow-up plan.

  1. Go to Timeline templates and open the template you want to edit, or create a new one.

  2. Click + Add to create a new timeline event.

  3. Set the "Type" field to "Anniversary reminder".

  4. Choose your standard timing, notification schedule, and visibility settings. These will be applied to all future timelines that use this template.

  5. Click Save to save the template.

Now, every timeline created with this template will automatically include your anniversary reminders. No one on your team forgets, and everyone stays consistent with client follow-ups.
