Managing Service Providers & Resources

Service providers and resources help you work more efficiently by automatically adding your go-to professionals and materials to your timelines.

What are Service Providers and Resources?

  • Service Providers are professionals you work with regularly (photographers, inspectors, contractors, lenders, appraisers, and so on)

  • Resources are documents, forms, checklists, or materials you use in your workflows

  • Why use them? To save time by automatically populating your timelines with the right people and materials instead of manually adding them to every timeline.

Getting started

Navigate to Service Providers or Resources from your settings to add, edit, or organize your providers and resources.

  1. Add your frequently-used providers and resources from the settings pages

  2. Next to each item, click "Always add service provider to" or "Always add resource to"

  3. Select which templates should automatically include them

  4. When you apply those templates, your providers/resources are automatically added to the timeline

When you apply a template with linked providers and resources:

  1. The template is applied to your timeline

  2. The service providers and resources linked to the template are populated in the timeline

  3. All attached service providers and resources are automatically added to your account

Team features

If you're part of a team account, you'll have additional collaboration features that ensure everyone uses the same trusted vendors and stays synchronized.

For instance, your office's "Listing #1" template includes a premium photographer. When any agent applies this template, that photographer is automatically added to the timeline's service providers section.

For Team admins

Control which providers are available team-wide:

  • Add providers to team templates

  • Update provider info (changes reflect everywhere)

  • Remove outdated vendors from team templates

  • Set preferred vendors for common services

For Team members

Work with providers shared by your team:

  • View all providers from team templates

  • Add personal providers to your own templates

  • Cannot edit shared templates (unless your admin enables it)

  • Can suggest new providers to admins

Avoiding duplicates

The provider management system prevents duplicate information:

One centralized provider record is used consistently

If you have existing duplicates:

  1. Go to your Service Providers list

  2. Identify duplicates

  3. Click Edit > Delete to delete extras

  4. Use the consolidated version going forward

Pro Tips:

  • Look over your provider list regularly to remove vendors you no longer work with.

  • Begin by linking your most frequently used providers to your most common templates.

  • If you're on a team, coordinate with your admin to ensure important vendors are available in team templates.
