When you associate a date with a board item, Folio will automatically create an event for this item on a calendar named “Folio events”. You’ll see your “Folio events” calendar in your Google Calendar calendars list.
The name of the calendar event will start with the item title, followed by the Smart Folder name. For an event that occurs at a specific time, Google Calendar will send you a notification 39 hours in advance. If there is no specific time range for the item, it will be saved as an all-day event, and Google Calendar will remind you 2 days before at 9am in your local time zone. These default settings cannot be customized at this time, but you can edit an individual calendar event to change its notifications.
The calendar sync is one-way, from your board to the synced calendar. If you add an event from the calendar, it will not show up on your board.
Access calendar events from Gmail
When you install our Chrome extension, you can easily access the relevant calendar events from your Folio sidebar. When you hover over the due date for an item, you’ll see a link to the calendar event. At the bottom of the sidebar, you’ll always find a link to navigate to Google Calendar.
If you don’t want a folder’s board items to sync to your calendar, click on the three-dot button in the upper righthand corner of your Folio sidebar, and select the “Do not sync items with calendar” option. You can always change your mind in the future and toggle the sync back on.
Don’t have a Folio account?
If you don’t have a Folio account and a board has been shared with you, we won’t be able to automatically sync with your calendar.
You’ll have a few options for manually adding items to your calendar. When you view the board, click on the calendar icon in the bottom right-hand corner of the item box. Select the appropriate option from the dropdown menu: Google Calendar, iCal, or Outlook.
