After you start working on a new active under-contract Folio Smart Folder, you can easily link the folder with BoldTrail BackOffice. When the folder is linked, BoldTrail BackOffice will display information that comes from Folio, such as key dates, contact details, emails, and a link to the Folio timeline.
Share a Folio Smart Folder with BoldTrail BackOffice (Part 1)
- From your list of Smart Folders, find the Smart Folder.
- Click on the three-dot button next to the folder.
- Select “Share with BoldTrail BackOffice”.
- Confirm that you want to share the folder’s information.
- The folder will appear as an “incoming update” in your BoldTrail BackOffice transactions overview.
If you use our Chrome extension for Gmail, you can share a Smart Folder directly from Gmail.
- Open a Smart Folder.
- Click on the three-dot button in the upper righthand corner of the timeline sidebar.
- Select “Share with BoldTrail BackOffice”.
Smart Folders that are shared with BoldTrail BackOffice are indicated as such in the folders list.
Share a Folio Smart Folder with BoldTrail BackOffice (Part 2)
After sharing the folder with BoldTrail BackOffice, go to the transactions page in BackOffice, and you'll see the folder listed under "incoming updates".
After you accept the incoming update, the page will prompt you to match the information with an existing transaction or create a new transaction. You can then verify the information that’s coming from Folio and add any other required details.
Sync Folio updates to BoldTrail BackOffice
After you share the Smart Folder, Folio maintains a connection between the folder and the BackOffice transaction. If you update certain fields in the folder or the timeline (detailed here), you can push those updates to the transaction.
- Make your updates to your shared Smart Folder or timeline. This can be done using Folio’s Chrome extension or the Folio dashboard.
- From your Folio dashboard, find the folder in your folders list.
- Click on the three-dot button at the end of the folder’s row.
- Select “Share updates with BoldTrail BackOffice”.
- Confirm that you want to share the updates.
The “Share updates with BoldTrail BackOffice” option is also available on the individual folder’s details page. You’ll find the three-dot button in the upper righthand corner.
If you use our Chrome extension for Gmail, you can find the “Share updates with BoldTrail BackOffice” option through the three-dot button in the upper righthand corner of the timeline sidebar.
Accept the update in BoldTrail BackOffice
The update will appear as an “incoming update” in your BoldTrail BackOffice transactions overview. From there, you can review and accept or reject the changes.
Please note: changes that are made in BoldTrail BackOffice will not be reflected in Folio.
